Software & automation for wholesalers

Orders in the ERP before anyone types them.

We build order automation, B2B ordering portals and integrations for wholesalers and distributors: customer orders processed the moment they arrive, one stock figure everywhere, and customers who serve themselves.

  • Orders from email, Excel and PDF
  • Customer item codes matched by AI
  • Connected to your ERP and web shop

For wholesalers and distributors

Does this sound familiar?

  • Every order retyped

“Customers email orders as Excel files and PDFs, and sales support types every line into the ERP.”

Hours a day, and wrong items shipped.

  • Their codes, not yours

“Customers use their own item codes and descriptions, so every line needs looking up.”

    Slow orders and costly mistakes.

  • Stock that doesn’t agree

“The web shop, marketplaces and ERP each show a different stock level.”

    Overselling and cancelled orders.

  • Reps calling the office

“Sales reps phone in to check availability, prices and order status.”

Two people busy for one answer.

  • Supplier delays found late

“Purchase confirmations sit in inboxes until a customer asks where their goods are.”

    Missed delivery promises.

  • “Can you resend the invoice?”

“Customers call for invoice copies, order history and delivery dates.”

Customer service buried in routine requests.

Example system

An order desk that processes itself.

Customer orders arriving by email are read, matched to your catalogue, checked against stock and credit and created in the ERP in seconds. An illustrative example; yours is designed around your processes.

  1. 1

    Starts on arrival

Triggered by the customer’s email, file or portal order.

  2. 2

    Every line matched

Customer codes and descriptions mapped to your SKUs by AI and rules.

  3. 3

    Exceptions to a person

Unclear lines go to sales support with everything pre-filled.

  4. 4

    Every order logged

Full history and timings, so you can trust and audit it.

Illustrative workflow

An order from a spreadsheet, before and after

Before

  1. 1A customer emails an Excel file with 80 lines
  2. 2Sales support matches each line to a product code
  3. 3Stock is checked in the ERP, line by line
  4. 4The order is typed in and confirmed by email

After

  1. The spreadsheet is read and every line matched to your SKUs
  2. Stock and customer prices are checked instantly
  3. The order is created in the ERP with a delivery date
  4. Only unclear lines wait for a person

Works with the systems you already run.

We connect to the software your team relies on, rather than asking you to replace it. Not on the list? If it has an API, a database, files or an inbox, we can usually connect it.

  2. 02

    Pilot on one process

We automate one high-volume process end to end, connected to your systems, and measure the time saved.

  3. 03

    Roll out

Once the pilot proves itself, we extend to the next process on a clear, fixed-scope roadmap.

Can you automate orders that arrive as Excel files or PDFs?

Yes. This is one of the most common projects in wholesale. Orders are read automatically, lines are matched to your catalogue (including customers’ own item codes), and the order is created in your ERP. Uncertain lines are flagged for review.

Do we need a B2B portal or is order automation enough?

It depends on your customers. Many wholesalers start by automating the orders customers already send by email, then add a portal for customers who want self-service. Both can run in parallel.

Can you keep stock in sync with our web shop and marketplaces?

Yes. We connect your ERP or WMS to e-commerce platforms and marketplaces so stock and prices update automatically, with safeguards against overselling.

How quickly will we see results?

Automated intake for your largest customers’ order formats is typically live in 3 to 6 weeks.
